ONLINE Vendor Registration Is Now Open

We’re excited to announce that online vendor registration is now open for the 41st Annual Hutto Olde Tyme Days Festival! This annual event attracts thousands of attendees from across the region and provides vendors with an excellent opportunity to showcase products, connect with new customers, and grow sales.
Be sure to mark your calendar and register early, as vendor space is limited.

IMPORTANT REGISTRATION NOTICE

Submission of a vendor application does NOT guarantee acceptance or booth space. Vendor registration is considered INCOMPLETE until full payment has been received and processed by the Hutto Area Chamber of Commerce. Booth space will not be reserved until payment is confirmed.

VENDOR GUIDELINES AND REGULATIONS FOR THE 40TH ANNUAL HUTTO OLDE TYME DAYS FESTIVAL

The general rules of Hutto Olde Tyme Days are incorporated into and made a part of this agreement and shall be binding on all participating vendors.

GENERAL VENDOR RULES
  • Vendors are responsible for providing all display equipment including tables, tents, chairs, extension cords, tent weights, and any additional booth materials.
  • All vendors using tents are required to properly secure tents with approved tent weights.
  • No early tear-down is permitted. Vendors leaving before the event concludes, without prior documented approval from Chamber Staff, may be prohibited from participating in future events.
  • All booths must have an adult representative present during festival operating hours.
  • Vehicles are not permitted on festival grounds except during designated load-in and load-out times.
The vendor agrees to assume all liability for damages or loss caused to the premises within their exhibit area and agrees to indemnify and hold harmless the Hutto Area Chamber of Commerce, festival sponsors, directors, officers, volunteers, and members from any liability resulting from participation in the event.


REFRESHMENTS & FOOD SALES

The Hutto Olde Tyme Days Festival reserves exclusive rights to the sale of Beer, Water, and Soft Drinks.
Food vendors may sell lemonade or tea ONLY. The sale of Beer, Water, or Soft Drinks by vendors is strictly prohibited. Vendors found in violation of this policy will be asked to leave the festival immediately without refund.


FOOD VENDOR REQUIREMENTS
IMPORTANT DEFINITION OF A FOOD VENDOR

For the purposes of Olde Tyme Days, a Food Vendor is defined as any vendor preparing, handling, distributing, serving, sampling, or otherwise providing open food onsite, as determined by the Williamson County and Cities Health District (WCCHD). This includes, but is not limited to:
  • Onsite food preparation
  • Cooking or heating food
  • Serving food or beverages
  • Providing food samples
  • Handling food outside of its original sealed packaging
Any vendor meeting this definition is required to obtain the appropriate permits through WCCHD.

REQUIRED HEALTH PERMITS

All vendors planning to distribute, prepare, sample, or serve food at Olde Tyme Days are required to contact the Williamson County and Cities Health District directly regarding permitting requirements.
It is the sole responsibility of the vendor to:
  • Contact WCCHD
  • Submit all required applications
  • Pay all required permit fees
  • Obtain proper approval before the event
The Hutto Area Chamber of Commerce and the City of Hutto do not issue food permits for this event.
Food vendors MUST provide proof of proper permitting and certification prior to participating in the festival.
A Temporary Food Establishment Permit is required for vendors serving food and/or samples unless the vendor possesses a valid Annual Mobile Food Establishment Permit issued by Williamson County.
Prepackaged foods that:
  • Do not require temperature control,
  • Are produced in a legally permitted facility, and
  • Remain in original sealed packaging
may not require a permit unless samples are distributed.

FOOD VENDOR OPERATIONS & FIRE SAFETY
  • Certified and operational fire extinguishers with current inspection tags are required for all food vendors and any vendor using generators or cooking equipment.
  • Small approved generators are permitted.
  • Gas cans are prohibited in vendor areas per Hutto Fire & Rescue regulations.
  • Food trucks and trailers equipped with cooking appliances producing smoke or grease-laden vapors must have a compliant exhaust hood and automatic fire suppression system.
All booths are subject to inspection by the Fire Marshal prior to operation. Vendors failing inspection will not be allowed to operate until compliance requirements are met.


EVENT OPERATIONS

SETUP & BREAKDOWN

Setup schedules and instructions will be distributed approximately one week before the festival.
If a vendor misses their assigned setup time, check-in may be denied.

FOOD VENDORS
  • Tear-down may not begin before 10:30 PM.
  • Vehicles will not be permitted inside festival grounds between 10:00 AM and 11:00 PM or until the grounds are cleared and barricades are removed.
ARTS, CRAFTS, NON-PROFIT & BUSINESS BOOTHS
  • Breakdown begins at 6:00 PM.
Any vendor breaking down early without authorization will incur a $50 fee and may be prohibited from future participation.


ADDITIONAL TERMS
  • Vendors may not assign, transfer, or sublease booth space.
  • Vendors are solely responsible for all sales tax obligations, permits, licenses, and business compliance requirements.
  • No refunds will be issued after acceptance.
  • The event is rain or shine.
  • The Hutto Area Chamber of Commerce reserves the right to reject or remove any exhibit deemed unsuitable for the event.
By submitting an application, the vendor acknowledges receipt, understanding, and agreement to all festival rules, regulations, and requirements.
